About CollabRecover
What exactly does CollabRecover do?
CollabRecover provides dedicated B2B accounts receivable recovery for companies with eligible past-due commercial receivables. The recovery operation can include portfolio review and prioritization, professional commercial customer outreach, structured follow-up, promise-to-pay tracking, next-action management, recovery documentation, use of available supporting account documentation where appropriate, client escalation, customer payment reporting and recovery verification, and recovery reporting.
Is CollabRecover a traditional consumer collection agency?
CollabRecover is focused on B2B commercial receivables recovery. Its service model is designed around past-due receivables owed by business customers rather than consumer or patient debt. Service eligibility is reviewed before an engagement or portfolio placement.
Does CollabRecover replace our accounts receivable department?
No. CollabRecover can complement an existing AR or finance operation by providing dedicated recovery capacity for an agreed portfolio. The client's internal team continues to control its broader accounting and financial responsibilities.
Who is CollabRecover designed for?
CollabRecover is designed for B2B organizations that extend commercial payment terms and have meaningful past-due receivables requiring dedicated recovery attention. A company may have aging pressure, competing internal priorities, a recovery backlog, rapid growth, temporary overflow, or a strategic reason to outsource a defined recovery function.
What industries does CollabRecover serve?
CollabRecover's target industries include Distribution & Supply, Manufacturing, Transportation & Logistics, Staffing & Workforce Services, Construction & Commercial Trades, Professional & Business Services, Legal & Litigation Support, Facilities & Commercial Services, Healthcare B2B, and Institutional & Education Vendors. Other B2B industries may also be considered based on the receivables and service fit.
What types of receivables does CollabRecover handle?
CollabRecover focuses on eligible past-due commercial/B2B receivables. The receivables may arise from services rendered, products, merchandise, materials, equipment, or other commercial transactions. Portfolio eligibility and service availability are reviewed before recovery begins.
Services & Portfolio Placement
What is Managed AR Recovery?
Managed AR Recovery is designed for businesses that want CollabRecover to manage structured recovery activity across an assigned portfolio of eligible past-due commercial accounts. The recovery scope may include professional outreach, scheduled follow-up, promise-to-pay tracking, recovery documentation, prioritization, client escalation, recovery verification, and reporting.
What is Integrated AR Recovery?
Integrated AR Recovery is designed for organizations that want CollabRecover working more closely with their existing AR operation through agreed limited system access and clearly defined responsibilities. The client retains its accounting and ERP environment while CollabRecover focuses on the recovery portion of the workflow.
Where approved limited access is part of the engagement, CollabRecover may reference account records and supporting documentation appropriate to the recovery workflow. Access should be agreed, limited, and permission-controlled.
What is the Portfolio Recovery Program?
The Portfolio Recovery Program is a targeted recovery engagement for a specific portfolio, aging segment, backlog, temporary overflow, acquisition-related portfolio, growth-related recovery need, staffing or operational transition, or another defined commercial recovery situation.
Can we place only our 90+ accounts?
Potentially. A company may choose to evaluate eligible 90+ accounts as a defined recovery segment. The gross 90+ balance is not automatically the same as the eligible placement amount because some accounts may require client resolution, exclusions, or other review before placement.
Can we place only our 60+ accounts?
Potentially. Placement criteria can be structured around an agreed aging segment when appropriate. The AR Recovery Assessment and Discovery process help determine whether 60+ accounts, 90+ accounts, another aging category, or a different portfolio structure may be appropriate.
Can CollabRecover help with a temporary recovery backlog?
Yes. A defined recovery backlog may be appropriate for the Portfolio Recovery Program when the accounts otherwise meet CollabRecover's service and placement requirements.
Can we place only certain customers, divisions, or portfolios?
Potentially. A recovery engagement can be structured around an agreed customer segment, division, location, aging category, or other defined portfolio when operationally appropriate.
Can we exclude certain accounts or strategic customers?
Yes. Placement rules and exclusions should be established before recovery begins. A client may identify accounts or customer categories that require special handling, client approval, or exclusion from the recovery portfolio.
Recovery Process
What happens after an account is placed with CollabRecover?
Eligible accounts enter the CollabRecover recovery workflow. The portfolio is reviewed and prioritized, professional B2B recovery communication begins, follow-ups and promises are tracked, next actions are managed, matters requiring client authority are escalated, reported customer payments are reviewed according to the agreed process, and recovery activity is documented and reported.
How does CollabRecover prioritize recovery accounts?
Recovery prioritization may consider available factors such as aging, balance, account status, previous recovery activity, promise status, documentation availability, next-action timing, and other agreed portfolio criteria.
How often does CollabRecover contact customers?
Contact frequency depends on the account, recovery status, customer response, commitments, client instructions, and the agreed recovery workflow. CollabRecover uses structured follow-up rather than assuming every account should receive identical contact timing.
How are promises to pay tracked?
Customer payment commitments can be documented with the relevant promised amount or payment expectation, expected date, customer comments, and required next action. If the commitment is not fulfilled, the account can move to the appropriate follow-up activity according to the recovery workflow.
What happens when a customer breaks a payment promise?
The missed commitment is documented and the account moves to the appropriate next recovery action based on the account status, prior communication, client instructions, and agreed workflow.
What happens when a customer raises a dispute?
CollabRecover documents the issue and escalates matters requiring client authority, such as disputes, pricing questions, credits, reconciliation, contract interpretation, or other client-controlled financial decisions. CollabRecover does not make those decisions on the client's behalf.
What does CollabRecover escalate back to the client?
Examples can include disputes, reconciliation questions, credits and adjustments, pricing issues, contract questions, settlement requests, write-off decisions, legal matters, incomplete account information, or other issues requiring client authority.
How are customer payments handled?
Under the CollabRecover recovery model, customers generally continue paying the client directly. The client reports qualifying customer payments through the agreed process, and CollabRecover reviews the reported recovery according to the service agreement.
How are recoveries verified?
Recovery verification uses the customer payment information reported by the client and the applicable recovery records and service-agreement rules. Any exception requiring client clarification is handled through the agreed workflow.
Supporting Documentation
What supporting documentation can CollabRecover use?
Where provided by the client or available through approved access, CollabRecover may use appropriate account documentation to support professional recovery communication. Examples can include invoices, statements, proof of services rendered, signed service documentation, delivery confirmations, proof of delivery, proof of receipt, and documentation showing products, merchandise, materials, or equipment were received.
Can CollabRecover use proof of services rendered?
Yes, where the documentation is provided by the client or available through approved access and is appropriate to the recovery workflow.
Can CollabRecover use signed proof of service?
Yes, where signed service documentation is available and approved for use in the recovery process.
Can CollabRecover use proof of delivery?
Yes. Where appropriate documentation is available through the approved workflow, delivery confirmation, proof of delivery, or proof of receipt may help support recovery communication involving commercial goods.
What if our company sells products or merchandise rather than services?
CollabRecover's recovery model is not limited to service businesses. Supporting documentation may relate to products, merchandise, materials, equipment, or other commercial goods when appropriate to the client's business and recovery workflow.
What if the customer received the goods but disputes the price?
CollabRecover can document the customer's position and escalate the matter to the client. Pricing, contract interpretation, credits, adjustments, and dispute resolution remain client-controlled responsibilities.
Does supporting documentation mean CollabRecover determines whether a debt is legally valid?
No. Supporting documentation can assist professional recovery communication, but CollabRecover does not use it to make legal determinations about debt validity. Legal decisions and other client-controlled financial determinations remain with the client or its appropriate advisors.
Client Responsibilities
Who handles account reconciliation?
The client retains responsibility for account reconciliation.
Who resolves customer disputes?
The client retains authority for dispute resolution. CollabRecover documents and escalates disputes identified during recovery activity.
Who applies customer payments?
The client retains responsibility for cash application and its internal accounting records.
Who approves credits and adjustments?
The client retains authority over credits and adjustments.
Who approves settlements?
The client retains settlement authorization unless a future written service arrangement explicitly establishes approved authority parameters.
Who decides whether an account should be written off?
Write-off decisions remain with the client.
Who handles legal decisions?
Legal decisions remain with the client and its appropriate legal advisors. CollabRecover does not provide legal services.
What happens when CollabRecover needs a client decision?
The matter is documented and escalated through the agreed client workflow so the appropriate authorized client contact can provide direction.
Technology & Security
What technology supports CollabRecover's recovery operation?
CollabRecover's recovery professionals are supported by purpose-built technology designed to help organize portfolios, prioritize recovery activity, manage next actions and follow-ups, track promises to pay, document account activity, maintain recovery timelines, manage escalations, and support recovery visibility.
Does technology replace CollabRecover's recovery professionals?
No. Technology supports organization, consistency, documentation, accountability, and visibility. Professional judgment and customer communication remain part of the recovery operation.
What is the CollabRecover Client Portal?
The Client Portal provides authorized client users with supported access to applicable recovery information and workflows. Depending on service configuration and currently supported capabilities, this may include account placement, placement history, account and recovery status information, customer payment reporting, billing and receipts, reports, documents, and other approved functionality.
Portal capabilities may vary according to service configuration.
How does CollabRecover control access to client information?
CollabRecover's technology is designed around controlled authentication, role-based permissions, tenant separation, controlled client workspaces, and permission-based access appropriate to authorized users and the agreed service configuration.
What are role-based permissions?
Role-based permissions help limit users to the information and functionality appropriate to their authorized responsibilities.
How is client information separated?
The technology architecture is designed with tenant separation so client environments and information can remain appropriately separated within the platform.
Does CollabRecover need access to our ERP or accounting system?
Not necessarily. The required level of access depends on the service configuration. Some recovery engagements may operate without direct client-system access, while Integrated AR Recovery may involve agreed limited access to appropriate account information or supporting documentation.
What does limited system access mean?
Limited system access means CollabRecover receives only the approved access appropriate to the agreed recovery workflow rather than unrestricted control of the client's accounting or ERP environment. Access should be permission-controlled and aligned with defined responsibilities.
Can we use CollabRecover without providing system access?
Potentially, yes. The appropriate operating model depends on the service configuration, portfolio, information-sharing process, and recovery requirements. Direct system access is not automatically required for every engagement.
How does CollabRecover use supporting documentation securely?
Where supporting documentation is made available through an approved workflow, access should be limited to authorized users and appropriate recovery purposes. CollabRecover's technology is designed around controlled authentication, role-based permissions, tenant separation, and controlled workspaces.
AR Recovery Assessment & Discovery
What is the AR Recovery Assessment?
The CollabRecover AR Recovery Assessment is a preliminary diagnostic designed to help evaluate a company's commercial receivables environment, service eligibility, aging profile, recovery structure, and potential recovery gaps. It helps determine whether a Discovery conversation may be appropriate.
How long does the AR Recovery Assessment take?
The Assessment is designed to be concise and uses a guided multi-step format rather than requiring a detailed portfolio upload.
What information does the Assessment ask for?
The Assessment asks for high-level information such as the location of accounts that may be considered for recovery, whether the receivables are commercial/B2B, approximate AR and aging ranges, approximate past-due account volume, the current recovery approach, recovery practices, primary recovery challenges, and desired improvements.
Do I need to upload my aging report to complete the Assessment?
No. The public AR Recovery Assessment is designed to use high-level ranges and recovery-process information. It does not require a complete aging report to provide the initial diagnostic.
Do I need to provide customer account information?
No. The public Assessment does not require customer names, invoice numbers, banking information, account passwords, or detailed customer-level financial data.
What happens after I complete the Assessment?
The Assessment provides a preliminary recovery profile based on the information submitted. Depending on service eligibility and the responses provided, the result may identify what appears to be established, potential recovery gaps, and whether a Discovery Call or additional review may be appropriate.
What happens during a Discovery Call?
The Discovery Call is used to understand the recovery portfolio in more detail, validate the Assessment information, discuss the current recovery process, identify potential placement criteria and exclusions, clarify responsibility boundaries, and determine whether CollabRecover is an appropriate service fit.
Does completing the Assessment obligate us to use CollabRecover?
No. Completing the AR Recovery Assessment does not by itself create a CollabRecover service engagement. Any engagement would require the appropriate proposal, service agreement, and applicable setup requirements.
Getting Started
How do we get started with CollabRecover?
A typical path begins with the AR Recovery Assessment, followed by Discovery when appropriate. If CollabRecover and the prospective client determine there is a fit, the process may proceed to a recovery recommendation, proposal, service agreement, applicable setup requirements, onboarding, account placement, and recovery operations.
What happens during onboarding?
Onboarding establishes the information and operating requirements needed for the agreed recovery service.
